Before making site recommendations, Rewarding Events weighs numerous factors including audience demographics, budget, originating cities, duration of event, exchange rates, trip dates and more, to ensure that the perfect site is selected for your group’s destination. We believe in taking the time to ask questions and gather the necessary information to make informed site recommendations.

Making certain that your guests experience the trip of a lifetime within budget is the highest priority for Rewarding Events. Following site selection, Rewarding Events will provide a proposal including all program elements, ensuring that there are no unexpected surprises. All proposed event elements such as transportation options, group activities, dinners, amenities, etc., will be based on the group’s demographics and your budget constraints.

Rewarding Events will provide assistance with theme development. An appealing theme, which ties your incentive program to the event and/or destination will be frequently repeated throughout your campaign and emphasized in communication materials.

Program participants and/or event guests will receive timely communications regarding the event, which will build excitement, as well as answer program and event questions. Each communication piece will bear the sponsors logo, as well as the event theme.

Whether group or individual, charter or commercial, Rewarding Events will coordinate air transportation for all event guests. Guest arrival and departure times will be coordinated.

Upon destination arrival until departure, ground transportation will be provided to and from all program events via private charter services.

Recommended accommodations will fulfill all guest needs from location to ambience, as well as services offered. An ideal resort will offer a spa, exercise facilities, laundry service, room service and in-room amenities for guest convenience, in addition to ample meeting space and the ability to host an array of group events.

Group meals are always a highlight for guests, and Rewarding Events will ensure your guests enjoy the flavorful fare among surroundings reflecting the destination selected.

Each destination offers tours and activities unique to the area. Rewarding Events will offer guests a varied selection of these activities to choose from, ensuring that each guest enjoys their leisure time.

Rewarding Events will secure appropriate meeting space, ensure that all necessary materials and audio/visual needs are met, and coordinate all food and beverage, ensuring the success of your meetings or training sessions.

Guests will enjoy special recognition for their efforts by being presented with an engraved award of achievement at a group event. Rewarding Events will provide engraved awards, as well as appropriate facilities and ambiance for a superior Award Ceremony.

The options are limitless for themed events, and Rewarding Events will coordinate all efforts ensuring a spectacular showcase event.

Each invited guest will receive an event package approximately three weeks prior to departure, containing the following items, conveniently presented within a travel organizer, with each item bearing the company and/or theme logo:

• Congratulatory Letter
• Airline Tickets
• Event Agenda
• Contact Information (to leave at home)
• Pertinent Destination Information
• Baggage Identification
• Name Badges

Upon receipt of event guest list, each invited guest will be sent an e-mail communication providing a program web address, where they will be asked to complete their event registration. Registration may include accommodation preferences, special meal needs, activity preferences, as well as contact information. This allows Rewarding Events to customize items for each attending guest.

Prior to travel, guests may have questions regarding the destination, activities, or travel documentation requirements. Rewarding Events will provide a phone number, staffed by travel personnel able to answer all guest questions. In addition, the same travel staff will be available on-site to ensure the flawless execution of all events and to provide guest assistance as needed.

Rewarding Events can provide a large variety of gift options, unique to your event. Each item will bear the company and/or theme logo and will be delivered to each guest-room along with a personalized message of congratulations and welcome.

Upon arrival at the airport, through each group event, Rewarding Events will place event signs and/or banners bearing the company and event logo.

Each invited guest will be mailed a Post-Event Evaluation Form to be completed and returned to Rewarding Events. All responses will be compiled and the results provided to our client. Evaluation Forms can be an effective means in obtaining feedback on the success of a destination, activities and meal events and may prove helpful in planning future events.
